1. Incomplete identification
Missing suffixes, revisions, dimensions or equipment details force suppliers to ask follow-up questions and can produce incorrect quotations.
2. Stock is not the same as availability
A listing may exist while physical stock is reserved, located in another country, or subject to final confirmation. Treat availability as confirmed only when the supplier confirms it against the quotation.
3. Made-to-order or obsolete parts
Some seals, motors, valves and specialist components require manufacturing. Obsolete part numbers may require a superseded model or engineering review.
4. Documentation and origin requirements
Certificates, traceability, inspection requirements or country-of-origin restrictions can narrow supplier options and add processing time.
5. Freight and customs
Pickup schedules, dangerous-goods classification, dimensions, export paperwork and customs clearance can affect transit time.
How buyers reduce avoidable delay
- Send the exact part number including suffixes.
- State quantity and required delivery date.
- Attach nameplate or component photos when identification is uncertain.
- State Original/OEM/Equivalent preference at the start.
- Mark shutdown-critical requests clearly.
